To move your international shipments smoothly, it's important to have the required documents. These can vary by country, so it’s important to review the specific requirements for your shipment and/or consult with your broker. Ensuring all necessary documents are accurate and complete can help minimize delays and streamline the shipping process. 


Checklist: Required Documents for International Shipments

Below is a simplified checklist of common documentation you and your broker will need for international shipping:


1. Commercial Invoice 

Used to process terms of sale and calculate duties/taxes.  Includes detailed information about the transaction between shipper and receiver. 



2. Bill of Lading (BOL)

Primarily used in ocean transportation.  The BOL is a legal document issued by the shipping line or freight forwarder to the shipper of goods.  This document serves as:

  1. Evidence of the contract of carriage.  
  2. Represents title of goods.  
  3. Provides delivery instructions for carrier and consignee. 


3. Waybill

A Waybill--also called an Air Waybill (AWB) for Air Freight, is a contract of carriage between the shipper and the carrier, similar to a Bill of Lading.  Although the documents are similar, unlike a Bill of Lading, the Waybill is not a negotiable document and does not represent the title of the goods. It serves as a receipt of the goods and provides delivery instructions to the carrier.

  • House Air Waybill (HAWB) - Identifies a single shipment, usually issued by a freight forwarder
  • Master Air Waybill - Consolidates details for multiple HAWBs, typically issued by an airline


4. Packing List 

A document providing detailed information about a shipment’s contents, typically prepared by the exporter or freight forwarder. Provides vital communication between shipper, consignee, and other involved parties (e.g., Customs authorities, carriers and warehouse personnel). Also aids in logistics management, inventory control and resolving disputes or discrepancies.
