The Authorized User feature on the UPS Forwarding Hub (UFH) is designed to empower you with greater control and flexibility in managing your logistics. By inviting trusted teammates or business partners to access the platform with customized permissions, you can streamline your operations effectively while maintaining complete control. 



Benefits of the Authorized User Feature


Enhanced Collaboration

Seamlessly work with your team by granting access to the platform and designating specific permissions. This allows everyone to operate efficiently, without compromising security.  



Time Savings  

Instead of managing every detail individually, delegate responsibilities to teammates who can help create quotes, place bookings, or track shipments.




 Improved Security and Control

Assign account permissions to limit access to sensitive data, such as rate visibility or address books. Instantly revoke access if necessary to ensure your information remains secure.



 Full Transparency

Monitor and manage activity with downloadable logs from the past 7 days, ensuring complete oversight of all actions taken by authorized users.




Let's walk through using this feature and look at examples of how it can benefit your business.





Add an Authorized User

Navigate to the 'My Profile' menu (upper right corner)


 

Select “My Authorized Users” 



Click “Invite New”   



Enter the 'User's Email Address'





Customizing Permissions

While inviting or editing an authorized user, you can tailor their permissions to match your operational needs. Before sending the invite, update user permissions to allow visibility.




Address Book: Allow them to manage or view customer and vendor information. 


Select 'Yes' or 'No', for address book visibility authorization









Linked Accounts: Grant access to specific accounts needed for their role.  


Select 'Yes' or 'No', for linked accounts visibility authorization






Rate Visibility: Limit access to pricing for users who only need to create shipments.



Select 'Yes' or 'No', for rate visibility authorization




Once you have updated the permissions, annotate any notes you would like to share with the individual you are granting authorization to. 






Mark the checkbox to agree with the terms and conditions, then click 'Send Invite'






At this point, the invitee will receive an email invitation to be an authorized user, and you can monitor their acceptance in the pending/expired invites section.



The person you invited will have 7 calendar days to accept or deny your request. Be sure to monitor and follow-up with the invite if you see they haven't responded to the request.





Accepting/Denying an Invite

If you have received a notification to gain access to another user's UPS Forwarding Hub (UFH) profile, follow these steps to respond to the invite:

Check Your Email

You will receive an email notification with details about the invitation. Open the email to review the request.  Within the email, click 'Accept' or 'Deny' invite.  This will redirect you to the UFH login page.  




Log in to UPS Forwarding Hub

Use your existing credentials to sign in. If you don’t have an account yet, you’ll be prompted to create one as part of the process.  



















Review the Invite Details

After logging in, you’ll see a summary of the invitation, including the name of the inviting user and the level of access requested.  


Click the 'Accept' or 'Deny' button.








After gaining access to the user profile, you can perform any actions you are authorized to carry out within that profile.





Monitoring and Revoking Access

If you have granted other users access to your profile, monitoring and managing access is an essential aspect of maintaining security, since these users can possibly perform actions on your behalf. Activity logs allow you to stay updated on user activity, and promptly revoke access when necessary. Here are the steps to view activity logs, plus remove users from your profile:


Monitor Authorized User Activity:   


Navigate to the 'My Profile' drop-down and select 'My Authorized Users' to view a list of users you have shared your profile with.


Now, 'Locate the user you want to review' logs for, and click the 'Download Icon'


Download the logs for further analysis or record-keeping. Logs are available for the past seven days.




Revoke Authorized User Access:  


Navigate to the 'My Profile' drop-down and select 'My Authorized Users' to view a list of users you have shared your profile with.


Now, 'Locate the specific user you want to revoke' access


Click 'Revoke' 


This action will immediately remove the user’s access to your profile


By following these steps, you can uphold the transaction security of your profile and ensure that only authorized individuals have access to act on your behalf.

During peak seasons, you can add temporary staff to help manage quotes, booking, and tracking shipments.

By adapting the Authorized User feature to your operational structure, you can achieve seamless collaboration while maintaining control and security.
